Your pricing says I can have a certain number of staff on my account. What’s considered a staff person? How do I know how many staff accounts I need?

A staff person is a member of your business or organization who accepts appointments or needs access to the scheduling system as an admin to help manage the appointments made with the other staff of your organization.

Staff members can have hours of availability which clients use to reserve 1-on-1 appointments. Staff can also be assigned as leading a class which can be offered to multiple clients at one time. Appointment and class availability is defined on a per staff basis so the staff do not all have to be working the same hours.

Each staff can have a different security level which will limit their visibility into appointments made with other staff or at other locations where they don’t work. There are no appointment limits per staff. Each staff person can have as many appointments per month as their schedule allows.

What counts as a location? How do I know how many locations I need for my account?

Locations are where the appointment takes place. This could be at your physical office, over the phone, or at the client’s house. With our appointment scheduling software a timezone is set with each location so if you see clients in more than one timezone, your availability will reflect that with each location.

Say, for instance, you take appointments both over the phone and at your office, then you’d need 2 locations to differentiate between them in the booking process. If you have an appointment made at one of your locations then it will block off your availability at the other location so you don’t get double booked.

If you go to a client’s location in order to offer the appointment, then your location would be whatever address the client enters upon booking. Every appointment has to have a location assigned to it even if it's not an office location.

What features do I have access to during the 30-day trial? If I want to use the software after the 30-day trial what do I need? How does the 30-day trial differ from the free account?

During the 30-day free trial you have access to all the features of the plan you signed up for. We do not place any limits on how much you can use the features during the 30-day trial period nor put in price barriers in order to activate certain features.

If you wish to continue using a paid checkAppointments plan after the 30-day trial ends, you can do so by entering in your billing information by the end of the 30 days. Not entering your billing information will result in a suspended account. You can always unsuspended your account by updating your billing info at any time.

You can also downgrade to the free account after the end of the 30 days although you may lose some of your customizations as not all features are available in the free account. The free account does not come with a free trial of all the features.

Rather, the Starter plan (which is the no-cost single user, single location plan) comes with lifetime access to a limited set of our features. It does not include email customizations, Google sync, text messaging, or downloadable reports.

What options do you have for billing? Can I pay by check? Do you offer any annual discounts?

Most of our users take advantage of our no-contract, month to month billing option by entering in their credit card at the end of the free trial period. You can enter your credit or debit card information at any time during the free trial by going to My Account > Billing Information.

We do not accept check payments for our month-to-month plans but can make arrangements to accept check payments for annual or semi-annual subscriptions. We offer a 10% discount for annual subscriptions and can accept those by check, credit card, or PayPal.

How are electronic and physical security ensured? How long is data retained? Do you take backups? What media are used for backups?

We take security (along with privacy) very seriously. We follow all processes to comply with HIPAA and PCI standards.

We store our servers and data at Amazon. You can read about their security here.

We do not delete any data and intend to retain data for at least 7 years (if not longer).

We get our servers scanned regularly for vulnerability. We take full hourly backups and store them at a remote location. We store the backups online on more expensive hard drives than offline media (tapes etc.) since they tend to be more reliable.

What emails get sent to our clients and staff? Can we customize those emails? When do they get sent out and how do we know if they got delivered?

Clients receive a confirmation email as soon as they book an appointment. They receive a reminder email as well as a reminder text message before their appointment (you can customize when these get sent out). You can also mark appointments as completed (either manually or automatically) and choose whether you want to send out a follow up email.

If clients cancel their own appointments, an appointment cancellation email is automatically sent to the client and the staff. If staff cancel appointments, they have the option of whether to send the cancellation email.

After the appointment time passes, staff can go in and mark the appointment as either completed or no show. By categorizing the appointment, the staff has the option to send a follow up email to the client saying either “Thanks for coming in” or “Sorry you couldn’t make it”, respectively.

Staff also receive appointment confirmation emails immediately after someone books. They can receive text message notifications, too, whenever a client schedules with them or cancels an appointment.

Emails are complete customizable on any of our paid plans. You can check and see whether or not emails got delivered by going to the appointment detail record and viewing the Emails tab.

I don’t have a website yet or I’m not sure whether or not I need to set up a full website of my own. How can my clients book with me if I don’t have a website?

Every account at checkAppointments comes with a landing page to host your scheduler on. You can customize the web address for this landing page when you sign up for your trial.

You can direct your clients to this landing page in order to book with you. You do not need to have a website of your own in order to offer scheduling. You can offer the same, simple scheduling system on the mini web page that comes with your account (although if you do have a website, you can always host the scheduler on there).

We also create a private landing page for each of your locations and staff so that they can take bookings separately. This is nice if you have a lot of locations and don’t want clients to have to sort through them all or if staff people have a private client list and want to keep their scheduling separated.

We want you to be able to take appointments as soon as possible, too! It typically takes just 15 minutes to get your scheduler ready to accept booking, but the time it takes to get your account fully customized to match your business needs varies on a case by case basis.

There are some businesses, for instance, that want a custom email template for each type of service or class that gets booked with them. Some businesses want to accept payment upon booking while others don’t. Some businesses have 20 locations while others have 1. Some businesses want to configure questionnaires, others don’t.

How long it takes to get fully set up and your entire account customized depends on what you want your scheduling process to look like. We can say that set up goes much faster with an onboarding specialist.
